From Manual Chaos to Automated Clarity — How a Media Pro Transformed Reporting

The Challenge

For over a decade, this founder had built a solid reputation in media and advertising.

But behind the polished client work was a time-draining reporting process:

  • Every client’s advertising spend, impressions, and stats were tracked manually in Microsoft Excel
  • Data from multiple platforms had to be downloaded, cleaned, and reformatted—by hand.
  • Each report took hours, leaving little time for networking, client acquisition, or business growth.
  • A lack of tech knowledge meant he couldn't see an alternative - he believed manual grunt work was the only way. 

When he reached out, he wasn’t struggling to get clients—but he was capped on how many he could serve, because his time was stuck in reporting, not in expansion.

The Approach (8-Week Contract Engagement)

Week 1–2: Business Unpacking & Workflow Mapping 
We reviewed his client reporting cycle from start to finish, documenting each step, platform, and dependency.

Week 3: Automation Blueprint

I designed a custom reporting panel tailored to his business—no generic SaaS tool, but something that matched his workflow exactly.

Week 4–6: Building the Tech Infrastructure

We implemented a robust and scalable system:

● Hosting: AWS EC2 Instance with a static IP for reliable uptime

● Web Server: NGINX configured as a reverse proxy for secure, smooth performance

● Backend: Node.js with Express.js to handle API calls and data processing

● Database: MongoDB for persistent, fast data storage

● Process Management: PM2 to ensure high availability and auto-restart on failure

Week 7–8: Deployment, Training & Transition

● Launched the reporting panel with live client data feeds

● Trained the founder on usage (without requiring deep tech skills)

● Built SOPs for troubleshooting and panel updates

The Results (Measured at Week 8)

● 100% automation of client reporting (keeping in mind specific time zones)

● Reporting time reduced from ~15 hours/week → under 30 minutes/week

● Zero manual Excel compilation

● Founder freed up time to expand client base by 20% in the first 3 months
